How to Reduce PDF File Size Without Losing Quality

A no-nonsense guide to why PDFs get large and the fastest ways to shrink them — from image downsampling to metadata stripping.

You’re trying to email a PDF but Gmail says it’s too big. Or you’re uploading to a portal that caps files at 5 MB. Or you’re just tired of dragging a 50 MB document around. Here’s exactly why PDFs balloon in size and the fastest ways to shrink them — without losing anything you care about.

Why PDFs get so large

A PDF is a container. Inside it are the things it displays: text, images, fonts and metadata. Text and metadata are almost free — a 500-page text-only PDF might be under 1 MB. The size comes from three things:

  • Embedded images. A single high-resolution scan can weigh several MB. Twenty scanned pages at 300 DPI can produce a 40 MB file effortlessly.
  • Embedded fonts. Every font used in the document may be bundled inside. Full Unicode fonts can be a few MB each.
  • Bloated structure. PDFs made by older software often store objects in uncompressed form, leaving redundancy that compresses well when re-saved.

The right compression strategy depends on which of these is dominating your file.

On typical office PDFs, expect 10–40% smaller. On PDFs made by well-optimised software (recent Word or Google Docs exports), the savings might be smaller. On older PDFs and exports from web browsers, they can be dramatic.

When the browser tool isn’t enough

If your PDF is dominated by high-resolution images — think scanned documents, photo catalogues, invoices with product shots — structural optimisation alone won’t make a big dent. The images are the size, and shrinking them means re-encoding them at a lower resolution.

In that case, the biggest wins come from:

  • Reducing image DPI in the source document (e.g. Word’s “Compress pictures” option).
  • Exporting the source document again with lower image quality settings.
  • If you can’t re-generate the source, splitting the PDF into pages, converting each image to JPG at 70–80% quality, and rebuilding.

The image workflow (when re-generating isn’t possible)

If you only have the PDF, the browser workflow is:

  1. Use the PDF Splitter to isolate a page range you need to shrink (or the whole file).
  2. For image-heavy pages, compressing images first is often more effective than compressing the PDF as a container. Run each image through the Image Compressor at 70–80%.
  3. Rebuild a PDF from those images with the JPG to PDF tool.

What compression won’t do

Two honest limits worth knowing:

  • Won’t change page count or text. Compression preserves everything you can read. If the file is large because there’s a lot of content, no tool can shrink it without deleting content.
  • Won’t make already-optimised PDFs much smaller. If you’ve exported a PDF from a recent version of Word, LibreOffice, or Chrome’s “Save as PDF”, the container is already optimised. Expect small savings.

Password-protected PDFs

Password-protected PDFs can’t be compressed by browser tools because the tool can’t read the contents. Remove the password in your PDF viewer first — Preview on Mac, or Adobe Acrobat on any platform — then compress the unprotected copy.

(Don’t try to compress the protected file before removing the password. It just errors.)

What about scanned documents?

Scanned PDFs are usually the biggest offenders — they’re essentially a slideshow of images. Two settings help enormously if you can rescan:

  • Scan at 200 DPI, not 600. 200 DPI is more than enough for legible text on printed pages. 600 DPI is for archival or fine detail — it produces files 9× larger.
  • Scan in greyscale where possible. Colour scanning triples file size for documents that don’t need colour.

Metadata: small but easy wins

PDFs quietly store author names, software versions, creation dates and often more. The browser compressor strips this on re-save. If you’re sharing a PDF outside your organisation, this is worth doing for privacy alone — even if the size savings are small.
